Chelgrave Contracting Australia Pty Ltd is an asset maintenance and specialist labour hire company founded in Melbourne, Australia in 1979. It supplies full-time and temporary employees to major construction, infrastructure, manufacturing, mining and transport companies. Chelgrave has 19 support staff in its five offices in Victoria and Queensland, as well as more than 300 contractors located around Australia.

Chelgrave’s IT provider managed the company’s PCs, giving it little control of or insight into its PC environment, including software antivirus expiry dates. Management often only became aware of an issue with a PC once Chelgrave’s IT provider or an employee reported it, so assessing and resolving problems took longer. In early 2011, Chelgrave became aware that its antivirus software had expired, leaving the company vulnerable to an attack.

In March 2011, with assistance from Microsoft Cloud Accelerate Partner Paradyne, Chelgrave implemented Microsoft Windows Intune for PC management, device protection and upgrade rights to future versions of Windows. Windows Intune has empowered Chelgrave to manage its own PC environment, improving security, simplifying IT management and reducing time to deploy new applications. Greg Scott, Chelgrave’s General Manager, now spends less time managing IT requirements and can more easily monitor and track the company’s IT assets.

Business Needs

Chelgrave Contracting is one of Australia’s oldest asset maintenance and labour hire companies. Founded in Victoria, it is currently expanding throughout eastern Australia, and in 2011 opened its first Queensland branch in Gladstone.

Chelgrave has around 20 PCs as well as 10 laptops, as many of its employees work remotely. Chelgrave’s IT provider spent 20 to 30 hours per week managing Chelgrave’s IT requirements, including PC updates, security and software installation. Chelgrave had little control over or insight into its PCs, and often only became aware of an issue with a PC once its IT provider or an employee reported it, so assessing and resolving problems took longer.

In early 2011, Greg Scott, Chelgrave’s General Manager, discovered that the company’s antivirus software had expired six weeks before, without triggering an alert. This resulted in a minor virus attack, and Scott says it was due to luck that the company’s PCs didn’t develop a major virus outbreak.

Chelgrave needed to better safeguard its PCs and improve and simplify its PC management practices.

“As a growing company, we wanted to take back control of our desktop environment and better manage the expanding fleet of laptops used by our mobile workers,” says Scott. “We needed greater insight into what was happening with our PCs so we could manage them proactively to make sure users always had the latest updates and malware protection.”

Solution

In February 2011, Paradyne – a Microsoft Cloud Accelerate Partner – recommended Microsoft Windows Intune. With Paradyne’s assistance, Chelgrave implemented Windows Intune in March 2011.

Chelgrave had previously worked with Paradyne to develop a strategy to simplify and strengthen its IT environment. Paradyne had recommended a cloud computing strategy that also includedMicrosoft Business Productivity Online (BPOS).

Windows Intune is a cloud-based device management service. It helps businesses manage and secure PCs using Windows cloud services and Windows 7.

As Chelgrave has no internal IT support team, Scott manages the web-based administrative console. It uses the same intuitive interface as Windows, and Scott says he’s found it surprisingly easy to use.

Windows Intune includes endpoint protection built on Microsoft’s powerful Malware Protection Engine, so Scott can easily provide all Chelgrave’s PCs with real-time security updates. Remote and mobile employees can receive these updates simply by connecting to the Internet, ensuring their laptops retain the highest levels of protection.

In March 2012, Chelgrave upgraded from Microsoft BPOS to Office 365, a subscription service that includes Office desktop applications and hosted versions of Exchange Server, SharePoint Server and Lync Server.
Chelgrave uses Sharepoint Online to store and share documents, and Lync Online to communicate with colleagues and clients. The company plans to take advantage of other capabilities of Office 365 as the business grows.

“Cloud computing has solved a number of our problems,” says Scott. “We plan to move most of our IT into the cloud, as it’s simpler to manage, easier to budget and keeps our IT systems up to date with minimal upfront investment,” he says.

WhenChelgrave deployed Windows Intune, it saw an immediate improvement in PC protection and hasn’t had any virus or malware outbreaks since.

“One of the biggest benefits of Windows Intune is the peace of mind it gives me that our computers will be updated with the latest security protections,” says Scott. “It helps us ensure business continuity.”

Simplified IT management
Scott says that with help from Paradyne, the transition to Windows Intune was easy. Since deploying Windows Intune, Office 365 and a new backup service, Chelgrave has reduced its third-party IT support requirements from 20 to 30 hours per month to almost nothing. Scott spends 5 to 10 minutes per month monitoring and maintaining PCs using the console, plus extra time when the business adds a new PC or laptop.

In March 2012,thanks to Windows Intune, Paradyne was able to deploy Office 365 much faster.Rather than having to install Office 365 on each computer, which would have taken nearly seven hours and disrupted employees, Paradyne installed the software using Windows Intune in around 10 minutes.

“Windows Intune has allowed me to spend less time on IT issues and more time on other business activities,” says Scott.

Enabled better control of ITassets
Scott can now oversee and analyse Chelgrave’s entire PC environment in just a few minutes,rather than tracking hardware and software assets manually.
